Data Handling

How CentricOwl sources, uses, shares, secures and retains information in the course of its work. This complements our Privacy Policy.

Last updated: September 2026

1. What we collect

  • Enquiry details you send us: name, organisation, contact details and a description of your situation.
  • Engagement materials you provide: for example URLs, evidence of infringement, proof of rights, or details of the subject of a report.
  • Information we gather while doing the work, from the sources described below.

2. How we source information

We work on public information, licensed data sources and lawful process only. We do not obtain financial or account information by pretext, which is prohibited by law, and we do not access, buy or use stolen or breached data.

3. How we use it

We use information only to respond to your enquiry, scope and perform the engagement, report to you, keep records we are required to keep, and meet our legal obligations.

4. Who we share it with

  • Licensed partners who perform investigative or fieldwork in a given jurisdiction, under confidentiality obligations.
  • Hosts, registrars, platforms and marketplaces, to the extent needed to file a takedown or complaint on your behalf.
  • Authorities and legal partners, where you instruct us to pursue enforcement, or where the law requires it.

We do not sell personal information.

5. Sensitive matters

Reports involving non-consensual intimate imagery are handled with priority and discretion. Material depicting anyone under 18 is not handled as a standard takedown: it is routed through law-enforcement and NCMEC reporting channels.

6. Security

Access to engagement data is limited to the people working on the matter. Evidence is stored with timestamps and source records so it can be relied on if a matter reaches counsel.

7. Retention

We keep engagement records for as long as needed to perform the work and to meet legal, regulatory and professional obligations, and then delete or anonymise them.

8. Where we operate

We serve clients in the US, Canada, the UAE and the UK. Canadian engagements are conducted in line with PIPEDA and applicable provincial privacy law; work in other jurisdictions follows the rules that apply there.

9. Your requests
